How One EOS Company Got Twice the Results in Half the Time

Texas Security Bank (TSB) was no stranger to the Entrepreneurial Operating System®, but they weren’t satisfied with the way they were managing their EOS® Tools. Their documents didn’t allow sharing or multiple editors, which meant people were often stepping on each other’s toes as they tried to work in the tools. Everything had to be maintained manually, and the effort required enough extra labor that documents weren’t updated as often as they intended.

Ben Swinney, VP for Financial Planning, saw the effect the setup was having on the organization, and he decided there had to be a better way to manage EOS tools.

Meet Texas Security Bank

Texas Security Bank was the last bank in Texas approved to be a startup bank when the economy went south in 2008. Now celebrating its tenth anniversary, TSB is driven by a mission to elevate the champions of free enterprise. The Dallas-based bank has three branches that focus exclusively on small to medium-size commercial businesses.

TSB began implementing EOS about four years ago. They worked with an Implementer, eventually graduated and self-implement EOS now. As a resource for the local business community, TSB partners with their Implementer to provide education about EOS.

TSB’s Challenge

When Ben joined the bank about nine months ago, departments were maintaining their EOS Tools in Word documents and Excel spreadsheets. He quickly noticed logjams and confusion that their homegrown solutions were creating. Often, it wasn’t clear who was updating what document, and there were times when two people were trying to update the same file.

The system also required people to spend time manually re-creating items such as Quarterly Meeting agendas, documents for Rocks, and Scorecards. “It was manual, took a lot of time and was difficult to deal with,” Ben said.

Accountability was an issue as well, because there wasn’t a clear log of what had been discussed and agreed upon during meetings. Although they were solving Issues and taking To-Dos, recording and cascading those items was spotty.

Ben believed that there had to be a better way to manage things. He came from a software background and thought that there might be an effective software solution out there for running on EOS. After some online research, he came across Traction Tools.

The Traction Tools Difference

Ben found the Traction Tools Video Library and dove into it. “There was a lot of information there, so we felt like we knew what we were getting and that it would meet our needs,” Ben said. “The price was reasonable, and the 30-day trial meant there was no risk to us, so we moved ahead quickly with Traction Tools.”

Ben started working with an account executive at Traction Tools. “Regis walked through all the questions I had and helped me to understand the system better,” Ben said. “Talking with him confirmed that Traction Tools would meet our needs and be cost-effective for us.”

Texas Security Bank began using Traction Tools software four months ago in the leadership team’s Level 10 Meetings™. Within a month, they were using it smoothly and seeing results. Now they’re in the process of rolling out the software to all their departments. “We’ve already seen the efficiency of our meetings improve,” Ben said. “Weekly meetings take half as long as they used to and we’re getting twice the number of Issues solved.”

Traction Tools’ automation has been the difference-maker for TSB. There’s no need to recreate documents or tinker with agendas, because the software does it automatically for them. Meeting notes are cascaded to the right people after the meeting, people are reminded of their To-Dos and the Level 10 Meeting Agenda is always ready to go. “And the fact that the agenda is timed, it just keeps you on track and keeps you focused on the things that you want to focus on,” Ben said.

The Client Success team earned some gold stars as well. “Isaiah helped answer questions about personalizing the software before we got started,” Ben said. “He spent a good bit of time on the phone with me. I worked with Maggie and a few other support people as well, and they helped us to think practically about how to accomplish our customizations.”

Tangible Business Results

Texas Security Bank is seeing twice the results in half the time, but that’s not the only business benefit that Traction Tools has delivered. Since using the EOS software, TSB has gained greater insight into the organization’s priority focus areas. They have greater clarity on their Issues, and they have become more cohesive as a leadership team because the automated meeting results cascade messages to keep everyone up-to-speed.

“When it’s easier to do the things you want to do, and information is in a central repository that’s easier for everybody to go to—that’s when you get things done,” Ben said. “And Traction Tools has a definite impact on making both those things better.”

By that time, Kathy’s love affair with EOS® was a done deal. A few years later when the saucy little startup Traction Tools appeared on the EOS scene, Kathy switched gears and focused her attention on making Traction Tools an operational success. Her work at Traction Tools has been described by our Visionary as “akin to transforming an airplane into a rocket ship—mid-flight.” She harnessed and directed our energy toward rapid growth. She’s done the same as the director of learning and a member of the Leadership Team of the Female Integrator Mastermind (FIM).
